Overview

PURPOSE & IMPACT: This role is known for providing excellent EA support to the President of UK & Ireland. Faultless diary management across complex agenda and internal/external commitments, travel requirements and documentation. They handle confidential information with discretion but at the same time are open and engaging, strengthening their network and relationships across the organisation. In addition, they support the wider UKILT and Nomad Group Executive, and team, and have specific responsibilities for purchasing and IT within the team. They have a significant impact on smooth running of UK &Ireland and building positive team environment.

 

We need someone who is proactive, well organised, diligent and capable of handling confidential information with discretion.  Highly professional manner and capable of interacting effectively with senior managers.  Able to operate in a matrix environment and to prioritise workload and manage multiple requests.   Positive, outgoing approach and willing to go the extra mile to help others and to provide excellent service. Must be able to represent Birds Eye / Nomad internally and externally.

Responsibilities

EA support for President of UK & Ireland

Proactively manages diary, travel and all operational matters (meeting prep, expenses etc). Ensure smooth prep and engagement with Exec meetings and other key internal/external meetings. Ensure the President is fully prepared for meetings with all necessary documentation and information. Screen and manage all incoming correspondence including email, prioritising incoming mail, drafting responses where appropriate · Takes and filters telephone calls, emails and other communications as required.

 

Support for UK&I

Support UK&I LT with diary management, travel etc and wider team as time allows.

 

UKILT Meeting Organisation

Preparation for meetings and attendance as required including scheduling, developing agendas and documenting minutes and actions. To include UKILT meeting(s). Organisation of conferences and off-site meetings as required.

 

Budget Management

Supports Budget management through raising POs, organising approvals, invoice checking, receipting. Proficient in Ariba system. Raising new vendor documentation. Liaison with Accounts Payable Team.

 

Network with other EAs
Build network with other EAs, to ensure efficient co-operation, between functions and Exec members.  Provides cover to other EA’s when they are on annual leave and vice versa.

Qualifications

  • 5+ yrs of experience supporting Director level and/or above and calendar management across multiple leaders based in different geographic locations 
  • Experience of working in global corporate organisations
  • A strong service ethic and a passion to deliver actions at pace and to a high standard
