Overview

We have an excellent opportunity available for you to grow your career and make a difference at Birds Eye!  As Executive Assistant to the General Manager, you’ll be supporting with all secretarial and administrative duties as required.

Responsibilities

Joining us as the EA, you’ll be responsible for the effective management of a busy and complex diary, full support with functional meetings, (attending them, managing the agendas, taking minutes), producing clear and accurate communication items plus all event support   You’ll also manage all correspondence for the General Manager where required and work closely with the Office Manager/PA network to ensure consistency and coordination across the organisation.  Other key responsibilities will include:

  • Ensures the GM’s time is optimised, liaising with colleagues and external partners to maximize capacity and act as gatekeeper where appropriate to minimize unnecessary draws on time.
  • Oversees efficient preparation of meetings and trips attended by the GM, anticipates potential issues, process solutions, and proactively gathers materials needed, supplying to the GM in advance.
  • Provides administrative support to the GM, collating contributions into a report or briefing as needed and producing first drafts of basic correspondence.
  • Serves as a bridge for smooth communication between the GM and internal departments; to maintain credibility, trust and support with senior leadership.
  • Supports logistics or other requirements of events where necessary – booking venues, catering, and on-the-day support, e.g. setting up, ordering materials, etc. Attend face-to-face meetings where required; minute taking, sharing decisions and ensuring action log is cleared.
  • Budget Management - raising PO’s, invoice checking, organising approvals, receipting. Raising new vendor documentation. 

Qualifications

We’re looking for an experienced PA/Executive Assistant at a senior executive level, you’re used to working in a fast-paced environment.  You’ve strong organisational skills with the ability to multitask and prioritize tasks. We look for people who are focused on getting results, embrace learning and bring positive energy, combining initiative with a sense of teamwork and collaboration.  You’ll also have the following -  

  • Previous experience of Event organisation and the management of budgets
  • Able to work with people at all levels of the organisation.
  • Possess good judgment and ability to maintain confidentiality.
  • You are proactive, motivated, enthusiastic and a self-starter.
  • Excellent IT skills – PowerPoint, Word, Outlook, Excel.
  • Flexible in approach to working hours when required.
